We take your privacy seriously and will take care of the data you provide, use it in a responsible manner and process it in accordance to the law of England and Wales. This page describes our privacy policy and by visiting our site and in communicating with us by email, fax, telephone or SMS message, you are accepting the practices described in this policy. You should read this Notice in conjunction with our Disclaimer Notice.

Customer Relationship

As a result of new legislation in England and Wales to enact the EU Directive on Privacy and Electronic Communications, we can only respond to your communications if either a) you have given your prior consent to receive a communication from us, or b) a relationship exists between yourself and Managing Change. Therefore, if you email us then we presume that you wish us to respond to your communication and/or, without obligation to either party, you wish to form a customer relationship with us. This will enable us to respond electronically and by telephony to your communication to us.

What Personal Information Do We Gather?

We gather information that you explicitly give us and information that is automatically collected by the electronic communications devices that we use or is used by yourself.

Explicit Information

Internet Data: This is the information that you have provided on the various forms on this site. Currently they are:

Email: When you send us an email these may be printed on paper or stored on our office computers. The content includes the email narrative written by yourself and the automatic information described below.

Telephony Calls: When you telephone our offices and all our lines are busy you have the option to leave a message. Such messages will be recorded on our own equipment or the equipment of our telecommunications provider. We delete such messages when they have been actioned. The content includes the voice message spoken by yourself and the automatic information described below.

Fax Calls: When you send us a fax these may be printed on paper or stored on our office computers. The content includes the fax narrative written by yourself and the automatic information described below.

SMS Text Message: When you send us a SMS message these will be stored in our mobile 'phones temporarily until we have actioned them. The content includes the SMS narrative written by yourself and the automatic information described below.

Automatic Data

Forms: When you complete one of the web forms we also gather information about the type of browser and the operating system you are using, the form page you were completing, and your internet IP address. We use this information to help us technically develop the web site to support the most common browsers and system environments.

Email: Our email software will make a log record of the email including your name, sending email address, date and time of sending and of receipt, subject and any signature information such as company name, telephone numbers.

Telephony Calls: Our telephony software and answer machine will make a log record of the voice call including your sending number (unless withheld), date, time and duration of the call.

Fax Calls: Our fax software and fax machine will make a log record of the fax call including your sending number (unless withheld), company name, date, time and number of pages.

SMS Text Message: Our mobile 'phone will make a log record of the SMS message including your sending number (unless withheld), date and time.

Email, Telephony and Fax Calls and SMS Messages: Your telecommunications company or ISP may provide us with calling details such as the number you are calling from, the date and the time. We may use such information to quickly retrieve your personal and company details in order to better serve you. Your telecommunications company may provide you with a facility to stop such calling details being sent.

Log Data: In common with all web servers, our servers log data about visitors, their technical environment and the pages they view. We use this data to anonymously analyse web traffic in order to identify which pages are of most interest to visitors, how many visitors view our web site, at what times visitors in general look at the site, what sort of technical environment they are using, etc.. We use this information to help us develop the site content and the supporting infrastructure. We do not use this information to identify and report individual visitors or their specific visits.

Search Data: When you use the site's search facility, the search information that you enter is also sent to us. We use that information to help identify what information in general is of interest to our visitors. We cannot link a particular search to an individual unless the person making the search enters their own own name or the name of another person as a search criteria. We do not recommend this unless you are making a search for information that is already in the public domain (e.g. the name of an author of a book).

Counters and Cookies

We no longer use counters or cookies on this site.

Information Creation, Storage, Retention and Destruction

So that we can recall the nature of our conversations and/or business with you at a later date, to provide business services to you, and to meet any legal, professional or insurance requirements, then:

If you wish to terminate the relationship and tell us in writing, then we will destroy any records excepting those we must maintain for legal requirements or to meet the requirements of the professional bodies that we belong to, or to meet the requirements of our insurers. Typically, such information will be retained for about 6 years.

If we dispose of any equipment containing data then we will either physically destroy the magnetic media or we will write dummy data over the whole of the media. If we dispose of any documents containing personal or company confidential information then we will destroy them by shredding or incineration.

Data and Processing Location

Our office computers are located in the UK and our web servers in the EU. When you send data by email or by completing a form, or when we email data to you, then that data is sent over the Internet and, depending on your location, may well travel through computers that are not located in the UK. As in common with nearly all the email traffic over the internet, we do not currently encrypt such data. You should not therefore use the internet to send highly sensitive data such as credit card or bank account details, or company trade or financial information, or sensitive personal information. For these we recommend the use of the fax or letter.

The Search services are provided by a US company. These do not involve the use of personal identifying data unless when Searching you enter your own name or the name of another person. We do not recommend this except as illustrated above.

Information Disclosure

We never as a matter of course pass any of the above individual information to any third party without your permission. We would only pass such individual information when compelled to by a court of law, by the police or by some other regulatory authority with the backing of the law.

We may make aggregated information available to other parties such as PR companies, the press, advertisers, customers, suppliers or potentials of any of these. With all such aggregated information it will not be possible to identify individuals.

Third Parties

Note 1: Some of our web services are provide by third parties who are therefore holding the above information on their computers as a service to us. All such third parties have stated that they will hold and use such data in a responsible manner.

Note 2: When you click on a link that takes you to another site (and this includes any adverts) then that site will no doubt be recording information about you and your visit. Please refer to those sites and their privacy statements for information as to what data is recorded and how it is used.

Yourself

You have the right to see a copy of any personal data that we hold on you. To retrieve such data you will need to provide us with information to help us locate the data and information that verifies you are the person who you say you are. We have the right in law to charge an access fee. By law we need to delete from any copy any information that may identify other persons.

Individuals including Children

We are a business to business company. Where resources allow, we may be able to help individuals including students, but we make no commitment to this or commit to respond promptly. Certain publications are available on our web site for purchase by other businesses but are we can supply to individuals on the same basis as a commercial company but additionally, such individuals must take professional advice before acting on any such information. If you are under 18, you may use our web site, send us communications and make purchases only with the involvement of a parent, guardian or supervisor.

Data Protection Act

We are registered under the Data Protection Act with the UK Information Commisssioner. Registration No. PZ8778508.

Conditions of Use, Notices, and Revisions

If you choose to visit our web site or to communicate in any way with us, then your visit or communication, and any dispute over privacy is subject to this Privacy Notice and our Disclaimer Notice. If you have any concern about our privacy policy or its application then please send us a thorough description via feedback, and we will try to resolve it. Our business changes constantly. This Privacy Notice and the Disclaimer Notice will change also, and use of information that we gather now is subject to the Privacy Notice and Disclaimer Notice in effect at the time of use.
